OUR COMPANY POSITION

Vivu Journeys is a startup company on the brink of an exciting new venture into the Travel industry. We are launching a new DMC within Europe, starting with the UK and Portugal, recently with Vietnam, Laos and Cambodia with bigger plans to expand globally.

Typically, a DMC works as a middleman buying product from hotels, transport and touring companies to sell onto Tour Operators or Travel Agents at a profit. For ViVu, in addition to connecting our partners with key suppliers, we will also be creating and operating our own product and tapping into the other hospitality arms of our Parent company, Thien Minh Group (TMG).

We are managing leading travel & hospitality business offering 4 different pillars within travel; DMC, Hotels and cruises – we own more than ten hotels and several river and sea boats with plans to expand our assets as we move into these new markets; Airlines, we own 3 seaplanes that operate in our homeland Vietnam and are about to embark on an exciting new airline project within Asia; Online – As one of Vietnam’s most successful Online travel Agents, we are industry leaders in technology, developed inhouse.


POSITION PURPOSE

- Support the Product & Contracting Manager across key functions, including sales pitching support, new busi-ness implementation, and supplier coordination

- Supporting the procurement and contracting of transportation services.

- Analyzing supplier product portfolios and market positioning.

- Maintaining accurate supplier and product data in company systems.

- Administering the FIT supplier contracting process within Vietnam (collection, upload, execution).


MAJOR TASKS

Supplier database management

- Create and fulfill databases.

- Upload correct & adequate suppliers’ information (contract soft copies/ promotions/ database) to One Drive and to the Data team in a timely manner.

- Update supplier information and data into Master Files.

- Posting and documenting the hard copies of countersigned contracts.

Analyzing and benchmarking Support

Collect contracts, tariffs, costing, itinerary and all relevant information to analyze and benchmark the prices and T&Cs of suppliers as per the Contracting team’s requests and guidelines.

Efficiency

- Understand deeply the main roles and goals of Contracting in the Company.

- Follow approved policies and procedures.

- Follow the Indochina Contracting Manager and Senior Con-tracting Executive instructions and be proactive to question and learn new skills.

- Manage time to complete tasks carefully, thoughtfully and timely.

- Make status report of tasks at and deadline deliverables.

Supplier Contracting

- Manage FIT supplier contracts over Vietnam.

- Assist the Contracting team with day-to-day key contract-ing activities.

- Ensure the contracting process executed thoughtfully.

- Checking all contracts terms and conditions and signing of all contracts alongside the Global Head of Product.

- Negotiate rates and T&Cs with suppliers and hotels to ob-tain the best return of profit to Vivu Journeys and ensure we increase our margin to the set levels by the Company.

- Negotiate value adds with hotels to provide Vivu Journeys a point of difference and provide the best return of value to our tour operator partners.

- Request and complete credit agreements with suppliers.

- Work with key suppliers to keep and enhance relationships for mutual benefits.

- Ensure all health and safety audits are completed on all accommodation and risk products in collaboration with our health and safety partner to ensure they all secure green status prior to travel.

- Respond to requests from teams and externals regarding supplies and services.

- Attend product training/ inspection trips and make reports.

- Work enthusiastically towards KPIs set around contracting.

QUALIFICATIONS AND EXPERIENCE

- At least 2 year experience in tourism, preferably in Contracting or Opera-tions.

- Bachelor’s or Master’s degree in Tourism, Sales & Marketing or any related field.

KNOWLEDGE

- Travel industry course and/ or experience within the travel industry is a pref-erence.

- An excellent knowledge of your product destination and your destination as a travel destination.

- Knowledge of principles and procedures for databases and reservation sys-tems.

- Technology and working with software/ web applications are plus.

- Understanding of consumer behavior in tourism.

SKILLS

- Excellent negotiation skill.

- Fluency in English (oral &written)

- Good communication skills (internal and with external suppliers).

- Excellent MS Office skills, especially Excel, Word.

- High standards of customer service.

- Excellent time/priority management skills with good attention to detail.

- Consumer focus, creative, inter-personal and problem solving skills.
