Why does this Job exist?

The Multi-Client Distribution Center Manager is responsible for planning, coordinating, monitoring, and controlling all operational aspects of customer contracts. This role ensures the achievement of service and budget objectives, the development of operational human resources, and the establishment of strong relationships with key customer managers, Linfox supplier organizations, and management teams from other Linfox operations within Vietnam.


Key Accountabilities

Reporting to the National Operation Manager, this position is directly responsible for overseeing Back-of-Factory Managers and Managers within Warehouse and Transportation operations. The role ensures that performance reviews and development plans are in place for each manager, along with succession plans for all direct report positions.

The Multi-Client Distribution Manager is expected to develop and maintain strong relationships with customers, suppliers, and Linfox colleagues at the first-line manager level, as well as with transport contractors at both the fleet owner and first-line manager levels. The primary responsibilities include fostering these relationships, aligning service expectations and delivery, and engaging in long-term business planning. This planning encompasses warehouse operations' human resource needs, transport requirements, and materials handling equipment.

• IT Manager: Supporting IT systems, functionality, data capture, and reporting.

• Country HR Head: Handling HR management issues and payroll matters.

• Project Teams: Assisting with direct project management and operational information.

• Linfox Regional Teams: Supporting operations and related matters.

Accountabilities and Key Result Areas

Safety, Health & Environment

• Ensure that safety is the first agenda item in all meetings.

• Ensure all incidents are reported within one hour.

• Implement the Occupational Health and Safety (OH&S) Policy, health and safety procedures, and comply with all legislative requirements.

• Monitor and oversee environmental, health, and safety matters through:

+ Formal participation in hazard identification, risk assessment, and control planning.

+ Workplace inspections, pre-purchase evaluations, and related activities.

+ Informal work site visits and discussions with staff.

• Review all Lost Time Injuries (LTI), Medical Treatment Injuries (MTI), Motor Vehicle Accidents (MVA), and related corrective action reports.

• Assess health, work environment, and safety-related reports, take appropriate actions, and initiate improvements in health and safety standards.

• Communicate regularly on relevant OH&S matters and review the health and safety performance of direct reports.

• Ensure all employees and contractors are properly inducted and receive ongoing training to perform their roles safely.

• Allocate sufficient time and resources to establish and maintain a robust health and safety program.

• Maintain all Environment, Health, and Safety documentation and records in compliance with Linfox Safety System requirements.

Process

• Develop and recommend improvements to warehouse and distribution systems, processes, and practices, including the integration of new technologies, to enhance operational efficiency, productivity, safety, environmental performance, and quality.

• Contribute to the achievement of the strategic business plan for the FMCG Stream by aligning operational objectives and outcomes with overall Stream goals.

• Ensure all processes and activities comply with legal requirements and company regulations.

Customer

• Establish, maintain, and enhance positive relationships with customers, as measured through feedback and surveys.

• Support the activities of Warehouse and Transport Managers across all sites to ensure service delivery standards and customer expectations are consistently met, as reflected in KPI performance.

• Deliver Linfox services to customers in alignment with agreed outcomes, ensuring adherence to budgets and business plan forecasts.

Finance

• Ensure that agreed cost budgets and service Key Performance Indicators (KPIs) for customer sites are consistently met.

• Effectively utilize the subcontracted workforce to minimize costs while maximizing operational flexibility and efficiency.

• Optimize the utilization of staff, equipment, and facilities by prioritizing and allocating resources in alignment with agreed cost budgets.

People

• Collaborate with Warehouse and Transport Managers to implement strategies that address operational, industrial, or personnel issues, minimizing disruption to operations.

• Ensure there are sufficient levels of adequately trained and developed staff to meet the business's needs.

Qualifications and Experience

• In-depth knowledge of logistics management, gained through at least five years of operational experience.

• Understanding of environmental issues and their impact on operations.

• Well-developed customer service skills with a strong focus on customer satisfaction.

• Ability to communicate effectively across various organizational levels, from senior management to warehouse operatives and drivers.

• Familiarity with union and general industrial/employee relations.

• Basic understanding of financial planning, accounting, and reporting practices.

• Strong written communication skills, with experience in report preparation.

• Proficiency in basic computing applications, including word processing and spreadsheets.

• Effective time management and organizational skills.

• Experience in managing multi-site operations.

Qualifications & Experience:

Qualifications

• Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or a related field.

Experience

• 7–10 years of experience in logistics, distribution, or supply chain operations, with at least 3 years in a managerial role.

• Proven experience managing multi-client or 3PL distribution centers.

• Strong understanding of warehouse operations, transportation, and inventory control.

• Hands-on experience with WMS

• Experience in managing P&L, budgeting, and continuous improvement projects.

• Strong customer service orientation – ability to manage client expectations, build relationships, and deliver SLAs/KPIs.

• Proven track record in leading large teams (supervisors, operators, drivers).

• Experience with compliance, safety, and quality systems (ISO, HACCP, etc.) is an advantage.
